What it costs, before we talk.

Fixed price upfront, a band for each type of project, and an honest list of what is not included. You should not have to sit through a quoting process just to find out whether this fits your budget.

No hourly billing. Scope and price are in the quote. Additional work is quoted separately first — you decide.

What does a project cost at ultimAItech?

These are the bands projects usually fall into. After intake you get one fixed amount within that band — no open end. All amounts exclude VAT.

Automation and AI always start with intake and process mapping. If a smaller fix or standard SaaS turns out to be enough, I say so — even when that costs me the project.

What is and is not in the fixed price?

Most unpleasant invoices exist because nobody wrote this list beforehand. So here it is.

  • Copy and photography, if you do not supply them
  • Paid advertising and campaigns
  • Link building and external PR

These costs preferably run on your own account. I do not resell them with a margin on top.

Four things that trigger a separate quote

A fixed price does not mean the price can never change. It means it never changes quietly. These are the situations where I come back with a separate proposal:

  • New functionality that was not in the quote — however small.
  • Extra design rounds beyond the agreed number.
  • An integration that only surfaces during the build, for example a system nobody mentioned at intake.
  • Work that has to be redone because the direction changes halfway. Steering based on a demo is part of the deal; throwing something out entirely is new work.

What does not happen: extra hours appearing on the invoice afterwards. You get a separate proposal with the price and the effect on the planning first, and you decide whether it goes ahead. Late content moves the planning, not the price. The full agreements are in the terms and conditions.

What you pay monthly

A project has a final amount; a running system has monthly costs. I name those before we start, so they are not a surprise.

  • Hosting and domain — in your name, with a provider you can cancel yourself. The exact amount depends on the provider chosen and is stated in the quote.
  • AI and API usage — €20–€100 per month for a typical AI assistant, depending on conversation volume.
  • Payment provider — the provider's own transaction fees, for webshops and booking systems.
  • Maintenance — no mandatory retainer. If you want updates and small changes handled, we agree that separately.

About price and payment

The questions that usually come first once there are numbers on the table.

Why do you not work with an hourly rate?

With an hourly rate you pay for my uncertainty. Every doubt, every extra round and every "could you just" ends up on the invoice. With a fixed price that risk sits with me, and it forces both of us to think properly upfront about what is actually needed. Scope and price are in the quote, as set out in the terms and conditions.

Do the prices include VAT?

No, every amount on this page excludes VAT. These are business assignments; the VAT amount is listed separately on the quote and the invoice.

Can I pay in instalments?

Yes. For larger projects I invoice in instalments, for example a deposit at the start and the remainder on delivery. The standard payment term is 14 days from the invoice date.

What if the project runs late?

If the delay is on my side, the price does not change. Delivery dates are target dates rather than hard deadlines, unless we explicitly agree otherwise. If the delay comes from late content or feedback, the planning moves — the price still stands.

Why is automation a band rather than a fixed amount?

Because the price is driven almost entirely by how many systems have to talk to each other and how predictably those systems behave. After intake and process mapping I know that, and then you get one fixed amount within the band — no reconciliation afterwards.

What if I want to move to another supplier later?

Then you can. Repository, domain and accounts are in your name, documentation and training are part of delivery, and after full payment you receive usage rights to the work and — where agreed — the source code. Read more about handover and continuity.
